How Should a Yacht Broker Handle an Inquiry When Availability Isn't Confirmed?
A yacht is held by an option and booked by a contract, and a phone call is neither. How to answer a weekend charter inquiry without promising what you cannot yet confirm.

Yacht Charter, Yacht Charter Broker, Charter Option, Availability, Charter Inquiry
When a charter inquiry arrives on a weekend and the yacht's availability is not confirmed, capture the request completely, tell the caller plainly that availability is confirmed by the broker and not on this call, and give them a real time for that answer. Do not say anything that only an option, a signed contract or a deposit can secure. In yacht charter, a yacht is held by an option and booked by a contract, and a phone call is neither.
How a charter yacht is actually held and booked
An option is a temporary, non-binding hold. One Croatia charter company, Goolets, describes an option as reserving a yacht for a designated period, typically 24 to 48 hours, without committing to the booking and without a deposit. The length varies with the company's policy, the yacht's popularity and the week in question, and when it expires the yacht is available to others again.
The contract makes it binding. As YachtCharterFleet's guide to charter contracts puts it, the charter contract is a legally binding document that sets out the rights and obligations of both the charterer and the owner.
The deposit follows the signature. Burgess explains that under a MYBA charter agreement the deposit is paid when the agreement is signed, with the balance and provisioning allowance due before the charter.
None of those steps happens on an evening call. Anything said that sounds like one of them, "it's yours," "I'll hold it," "that week is open," is a statement the broker may have to retract.
Why the weekend inquiry still matters
Lead times vary. Burgess recommends booking at least six months ahead and notes that the most popular yachts are reserved up to a year in advance. But Northrop & Johnson reported in June 2026, citing forward booking data it does not further identify, that average booking lead times fell from 118 days in 2025 to 83 days in 2026. The firm linked the change to a cautious planning environment rather than a lasting shift. It is one firm's report, not an industry benchmark, but it suggests some clients are deciding closer to departure. If that holds for your clients, a request that sits unanswered over a weekend has less slack around it.
What to say instead
Acknowledge the request specifically. Repeat the area, the week and the guest count so the caller knows it was heard correctly.
State who confirms availability, and when. "The broker confirms availability. You'll hear back by Monday at ten" is honest and useful. A vague "someone will be in touch" is neither.
Ask about flexibility now. If the first-choice yacht or week is gone, a caller who has already said they could move a week or consider a similar yacht gets a useful answer instead of a no.
Do not name a price or a range. Rates, the provisioning allowance and fees depend on the yacht, the season and the terms.
Do not hold anything. Placing an option is the broker's step, not the phone line's.
What to capture so the first call back is an answer
Crewed or bareboat, and for bareboat, the skipper's qualification. See why the inquiry should start there.
Cruising area and base.
The week, read back as a start day and an end day.
Guests aboard, as the caller states the number.
Yachts or styles the caller has in mind, and alternatives they would accept.
How firm the dates are.
The best callback number and time.
With that in hand, the broker can check availability and place an option on Monday morning without a second discovery call.
How the Watch handles this
The Thinking Robot builds AI phone agents, called the Watch, for businesses where a missed call is expensive. The yacht charter agent asks crewed or bareboat first, thinks in weeks rather than dates, and asks for guests rather than cabins. The yacht charter page lists what it is built not to say. Call its demonstration line at (720) 676-0119 and ask for a week next summer.
Tiers and prices are on the services page, and build time to go-live is four weeks. The Line Audit is $300, credited against setup, or you can book a call.
Frequently asked questions
What is an option on a yacht charter?
A temporary, non-binding hold on a yacht for a set period while the client decides. Goolets describes options as typically lasting 24 to 48 hours with no deposit, though policies vary by company and yacht.
Is a yacht booked when the client says yes on the phone?
No. A charter is booked when the charter contract is signed and the deposit is paid under its terms. Until then, the broker has at most an option.
How should I answer a client who wants an answer tonight?
Tell them exactly when they will have it, and keep that promise. Capturing their flexibility on dates and yachts now gives you something useful to come back with if the first choice is taken.
Should an answering service say a yacht is available?
No. Availability can change between a listing and a call, and confirming it, or placing an option, is the broker's job. The line should record the request and the callback time.
